1. Who this policy covers
This policy applies to personal information Talent Civic Inc. collects through this website, by email, or in the course of providing government staffing services - whether you're a candidate interested in placement or a representative of a government agency or organization we work with.
2. What we collect

3. How we use it
- To evaluate and pursue candidate placements on government contracts.
- To respond to staffing inquiries from government agencies and employers.
- To communicate with you about an opportunity, contract, or inquiry you've raised with us.
We don't sell personal information, and we don't use it for purposes beyond what's described here without asking you first.
4. Who we share it with
We share candidate information with a specific prospective government agency or employer only when pursuing a specific opportunity with your knowledge. We don't share your information broadly or with unrelated third parties.
Service providers who process information on our behalf
Some information passes through third-party services in order to reach us. These providers process it only to deliver the service, not for their own purposes:
- FormSubmit (formsubmit.co) relays the employer and candidate forms on our contact page. Anything you type into either form, including any clearance or suitability status you choose to share, passes through FormSubmit before it reaches [email protected]. If you would rather not use a third-party relay, email us directly instead.
- Zoho Mail hosts the [email protected] mailbox that receives those messages.
- Cloudflare serves this website.
- Google Fonts serves the typeface this site is set in, which involves a request to Google's servers when a page loads.
We will keep this list current as our tools change. If you need to know where a particular provider stores data before you send us anything, ask us first at [email protected].
5. How long we keep it
We keep personal information for as long as it's reasonably needed for the purpose it was collected for - for example, for as long as you remain interested in placement opportunities, or as long as an agency relationship is active - and delete or anonymize it when it's no longer needed, unless we're required to keep it longer by law.
6. Your rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you can:
- Ask what personal information we hold about you.
- Ask us to correct inaccurate information.
- Withdraw your consent to our use of your information, subject to legal or contractual limits.

7. Security
We take reasonable steps to protect the personal information we hold, appropriate to a business at our current stage. As we grow, we'll formalize these practices further and update this policy to reflect that.
8. Cookies
We don't currently run analytics or advertising cookies. This site does load fonts from Google Fonts, which is listed among the service providers in section 4. If we add analytics or advertising cookies, we'll update this policy and add a cookie notice.
9. Changes to this policy
We'll update this policy as the business develops, particularly once our candidate registry is built. We'll update the "Last updated" date above when we do.
